Why the Supplier Portal Can’t Wait

For years, the supplier portal sat on the procurement wishlist. It was useful, but it could wait until after the ERP upgrade, the AP automation project or the next budget cycle.

That wait is over. On 1 January 2026, a PDF stopped being a valid invoice between businesses in Belgium, and Poland, France, Germany, the UAE and Singapore are on similar paths. The supplier portal has moved from something companies want to something they need. Four forces are behind the shift:

  1. E-invoicing is now the law.
  2. Compliance demands proof.
  3. Email is where supplier conversations get lost.
  4. Suppliers remember how you treat them.

Each one is a reason on its own. Together, they make the case hard to defer.

1. E-invoicing is now the law

Governments are replacing PDF and paper invoices with structured e-invoices that tax authorities can read and validate, in many cases in near real time. What began in a few countries is now a global rollout.

A few examples of how quickly this is moving:

  • Malaysia has phased in e-invoicing by turnover since August 2024.
  • Belgium made structured B2B e-invoicing mandatory for all VAT-registered businesses from 1 January 2026, with no phase-in by company size.
  • Poland made its national KSeF system mandatory on 1 February 2026 for large taxpayers and on 1 April 2026 for most other businesses.
  • France has required every business to be able to receive e-invoices since 1 September 2026. Large and mid-sized companies must also issue them, and SMEs follow on 1 September 2027.
  • Germany has required businesses to receive e-invoices since 2025. Issuing becomes mandatory for businesses above €800,000 turnover on 1 January 2027 and for all businesses on 1 January 2028.
  • The UAE begins mandatory e-invoicing on 1 January 2027 for businesses with revenue of AED 50 million or more, and on 1 July 2027 for the rest.
  • Singapore extended its InvoiceNow requirement in February 2026 to every GST-registered business, phased in from April 2028 to April 2031.

For finance teams, the hard part isn’t sending one compliant invoice. It’s making sure hundreds or thousands of suppliers, across several countries, can send, track and correct invoices in the format each regime requires. That needs a supplier-facing layer, and an inbox can’t provide it.

2. Compliance demands proof

E-invoicing is one rule among many. Finance teams are also asked to prove who their suppliers are, how each one was vetted and why each payment was released. Auditors, regulators and governments expect compliance backed by evidence, not explanations.

A supplier portal supports this in three ways:

  • Verified supplier data. Tax IDs, bank details and certificates are captured once and validated at the source.
  • A complete audit trail. Every change, approval and document is tied to a timestamp and a user.
  • Policy built into the process. Required documents and checks are enforced before a supplier can transact.

When this information lives in inboxes and spreadsheets, every audit becomes a search exercise. A portal makes suppliers responsible for keeping their own data current, and gives finance a single record to rely on.

3. Email is where supplier conversations get lost

Ask a supplier how they follow up on an unpaid invoice and the answer is usually the same: send an email, wait, send another. Ask the AP team and they describe the other end of that thread: shared inboxes full of status questions, duplicate invoices and attachments that have to be opened one by one.

Email frustrates both sides for the same reasons:

  • No visibility. Suppliers can’t see whether an invoice was received, approved or paid without asking.
  • Replies depend on people. When the person handling the thread is busy, on leave or has moved on, the conversation stalls.
  • Information gets scattered. Documents, approvals and decisions sit in individual inboxes, and nobody has the full picture.
  • Every invoice is manual work. PDFs and attachments have to be read and keyed in before anything can happen.
  • It is easy to fake. AI makes it easier to forge a convincing invoice or bank-details change request. The FBI’s Internet Crime Complaint Center recorded more than US$3 billion in reported business email compromise losses in 2025.

This matters more now that finance teams are bringing AI into accounts payable. AI agents can match invoices, flag exceptions and answer routine supplier queries, but only when the data reaches them in a structured form. An inbox gives them free text and attachments. A supplier portal captures every invoice, document, query and dispute as structured data from the start. That is what makes supplier transactions agentic: suppliers get answers without asking, and automation can do its job.

4. Suppliers remember how you treat them

Suppliers judge customers on how easy they are to work with. A supplier who has to chase invoice status by email, wait for a reply and repeat it next month forms a view of your company. So does their finance team, and so does the market they talk to.

A portal gives suppliers self-service visibility into purchase orders, invoice status and payment dates. “Where is my payment?” calls go down. Disputes are raised and resolved in one place. Suppliers who are paid predictably are more willing to offer better terms, prioritise your orders and stay with you when supply is tight.

Your supplier portal is often the only part of your finance function a supplier ever sees. It should reflect the company you want to be.

Already done e-invoicing? The supplier portal is your logical next step

An e-invoicing network gets compliant invoice data from supplier to buyer, and to the tax authority where required. It doesn’t onboard suppliers, share purchase orders, answer status questions or resolve disputes. Without a portal, those still fall back to email.

The two work hand in glove:

  • E-invoicing moves the invoice: structured formats, tax authority reporting, network delivery and format validation.
  • The supplier portal runs supplier relationship management (SRM): onboarding and due diligence, PO sharing, invoice and payment status, queries, disputes and every conversation in between.

Companies that invest in e-invoicing without a portal get compliant invoices but leave supplier relationship management on email. With both in place, the invoice and the relationship around it run through structured, auditable channels.

The Before and the after math

Most companies are at one of three stages. Each stage fixes one problem but leaves another.

Paper invoicing

Suppliers post or email PDF invoices. AP keys them into the ERP, matches them to the PO by hand and chases approvals. Suppliers call to ask when they will be paid.

The problem: every step depends on people. Invoices get lost or keyed in wrongly, and paper no longer meets e-invoicing mandates.

E-invoicing + email

The invoice now travels as a structured e-invoice and reaches the tax authority on time. But supporting documents, interdepartmental approvals, disputes, status questions and compliance paperwork still go back and forth by email. Finance often can’t tell whether goods or services were actually received until the right people reply.

The problem: you are compliant, but the work around the invoice is still manual and scattered across inboxes.

E-invoicing + NimbleS2P Supplier Portal

Suppliers onboard once, acknowledge POs and submit invoices in the portal. Each invoice goes out as a compliant e-invoice, is matched automatically and moves through a rule-based approval workflow that routes it to every approver your process needs, across departments and levels. The NimbleS2P AI agent checks documents and follows up on compliance paperwork, and suppliers track status themselves.

The result: routine work runs on its own. Your team handles only exceptions, every supplier interaction is on record, and CFOs and CPOs have full visibility and control.

Let the portal do the follow-ups

A supplier portal does more than collect information. It can do much of the checking and chasing that takes up AP and procurement time today.

  • Checklists and automatic document checks. Set the documents and fields each supplier or transaction needs. When a supplier uploads an attachment, the portal checks it straight away. Your team saves hours of manual validation, and suppliers stop going back and forth over missing or incorrect documents.
  • Agent-led compliance follow-ups. Recurring documents such as no-dues certificates, tax declarations and renewed certificates are requested, tracked and followed up by the NimbleS2P AI agent, not by people sending reminders.
  • Exceptions go to people. Routine checks run automatically, so your team only steps in when something needs a decision.

What to look for in a supplier portal

  • Self-service onboarding with built-in due diligence. Suppliers register, upload documents and keep tax and bank details current, with checks such as tax ID validation and sanctions screening at entry.
  • E-invoicing ready. Works alongside your e-invoicing partner or network so invoices meet each country’s format and reporting rules.
  • ERP integration. Supplier master data, POs, goods receipts, invoices and payments stay in sync with SAP, Oracle, Microsoft Dynamics 365 or your own ERP.
  • Multi-level approval workflows. Invoices route to every approver your rules require, across departments, amounts and levels, with no email chasing.
  • Real-time visibility for suppliers. PO, invoice and payment status without contacting your AP team.
  • Automated checks and agent follow-ups. Document checklists, automatic validation and agent-led reminders for compliance documents.
  • Consent management. Suppliers’ acceptance of terms, policies and data-privacy consents is captured, time-stamped and stored with their record.
  • Secure by design. Authenticated access and controlled bank-detail changes, replacing email as the channel for money matters.
  • Audit-ready records. Every document, change and approval logged and easy to retrieve.

The bottom line

E-invoicing mandates set the deadline. Compliance sets the standard of evidence. AI agents need structured supplier data that email can’t provide, and suppliers expect the same visibility they get everywhere else. A supplier portal answers all four. E-invoicing makes the invoice compliant; the portal turns supplier relationship management into a structured, automated process. That is why it has moved off the wishlist and onto the leadership agenda.

Frequently asked questions

Is a supplier portal the same as an e-invoicing solution?

No. E-invoicing covers the structured exchange and reporting of invoice data. A supplier portal covers the wider supplier relationship: onboarding, documents, purchase orders, status visibility and dispute resolution. Most enterprises need both.

Why doesn’t email work for supplier communication anymore?

Email is unstructured, so invoices and queries have to be read and keyed in by hand before automation or AI can use them. It is also easy to impersonate and hard to audit.

Which countries have e-invoicing mandates?

Mandates are live or phasing in across many countries, including Belgium, Poland, France, Germany, Malaysia, Singapore and the UAE. Dates vary by business size, so check current timelines with your tax adviser.
